Best Practices for tech organization in schools

I am a technology trainer in education and looking to streamline advice for the educators I work with. Would love to gather opinions on the following 2 things:
1. What are best practices for organizing files within a school/class/district? ideally to make reuse of the best files easier.
2. Outside of Google's apps (or Microsoft) what are worthwhile add-ons or additional tech platforms to support classroom learning and clear internal/external communication?
